Safety and Preparedness Guidelines
For Fun Club Participants, Families & Staff
Creating a safe, inclusive, and supportive environment is our top priority. This guide outlines the safety measures and preparedness protocols in place to ensure the wellbeing of all participants during club activities.
Supervision & Staff Readiness

A trained staff-to-participant ratio will be maintained at all times.

All staff are background-checked and trained in:

First Aid & CPR

De-escalation techniques
-
Supporting individuals with sensory, communication, or mobility needs

Health & Medical Preparedness
-
Participants are required to have an up-to-date emergency contact and medical information form on file.

Medications must be administered by a parent/guardian or caregiver unless otherwise authorized in writing.

Minor injuries will be treated on-site with first aid, and parents/guardians will be notified.

In the event of serious illness or injury, 911 will be called immediately, and emergency contacts will be informed.
Behavior Support & Emotional Safety

We use proactive behavior supports to promote positive social interaction and emotional regulation.

Participants are encouraged to express needs or discomforts using their preferred communication method.

If a participant becomes dysregulated or overwhelmed, staff will:

Offer sensory breaks or quiet space

Use calming techniques
-
Contact family if needed

Environmental Safety

All field trip and outdoor locations are pre-visited and checked for accessibility, bathrooms, shade, and rest areas.

Participants must stay with the group and within staff line of sight at all times.

Staff carry a first aid kit, emergency contact list, and mobile phone on all outings.
Emergency Preparedness

Regular safety drills (fire, weather, lockdown) are conducted with sensitivity to individual needs.

In case of an emergency, a designated meeting point will be used:

Primary Indoor Site: Nichols Library Meeting Room

Outdoor Meeting Point: Centennial Beach Park

Personal Belongings & Safety Gear

Participants should bring labeled personal items (water bottle, snacks, sunscreen, medication, etc.).

Comfortable clothing and shoes are recommended.
-
Items not allowed: weapons, sharp objects, or unsafe electronics.
COVID/Illness Policy

Participants should stay home if they have a fever, active illness, or contagious condition.
-
Hand sanitizer and tissues are available on-site and on outings.
-
Masks are optional unless otherwise required by venue or health department.
